About the Role
AbuIssa Holding is looking for a highly organized and detail-oriented Project Coordinator to support the planning, coordination, and execution of retail projects, shop fit-outs, architectural works, and facilities-related initiatives.
The role will coordinate with internal teams, consultants, contractors, suppliers, landlords, and relevant authorities to ensure projects are delivered efficiently, safely, and in accordance with approved designs, technical requirements, timelines, and applicable regulations.
The ideal candidate should have practical knowledge of retail/shop fit-out, architecture, Civil Defense requirements, CCTV and security systems, facilities management, and project coordination.
Key Responsibilities
- Coordinate and support the end-to-end execution of retail projects, shop fit-outs, renovations, and maintenance-related projects.
- Review architectural drawings, layouts, shop drawings, specifications, and project documentation.
- Coordinate with architects, consultants, contractors, MEP teams, suppliers, and internal stakeholders throughout the project lifecycle.
- Ensure project works are executed in accordance with approved drawings, specifications, brand standards, and project requirements.
- Coordinate Civil Defense requirements and approvals, ensuring fire and life-safety requirements are incorporated into project designs and execution.
- Coordinate the installation and integration of CCTV, access control, security systems, and other low-current systems as required.
- Coordinate with MEP and facilities teams to ensure all technical and operational requirements are addressed.
- Monitor project progress against approved timelines, milestones, budgets, and deliverables.
- Conduct regular site visits to monitor work progress, quality, safety, and compliance with approved designs.
- Identify project issues, delays, or deviations and coordinate with relevant stakeholders to resolve them promptly.
- Review contractor work and assist in ensuring that materials and workmanship meet the required standards.
- Coordinate inspections, testing, commissioning, snagging, and handover activities.
- Maintain project documentation, including drawings, approvals, meeting minutes, schedules, reports, variations, and handover documents.
- Coordinate with landlords, malls, authorities, and other external parties regarding fit-out guidelines, approvals, access, permits, and project requirements.
- Support the preparation and review of project schedules, BOQs, quotations, and contractor proposals.
- Assist in obtaining and coordinating necessary permits, approvals, inspections, and certificates.
- Coordinate with Facilities Management to ensure smooth transition from project completion to operational handover.
- Follow up on defects, snags, warranty issues, and post-handover requirements.
- Prepare regular project status reports and communicate updates, risks, and action points to management.
- Ensure all project activities comply with applicable health, safety, quality, regulatory, and company requirements.
- Support multiple projects simultaneously and ensure priorities and deadlines are effectively managed.
Requirements
- Bachelor’s degree in Architecture, Civil Engineering, Construction Management, Project Management, or a related field.
- 3–5 years of relevant experience in project coordination, retail fit-out, construction, architecture, or facilities projects.
- Hands-on experience in retail/shop fit-out projects is highly preferred.
- Good knowledge of architectural design, drawings, layouts, finishes, and construction processes.
- Strong understanding of Qatar Civil Defense requirements and fire & life-safety systems.
- Working knowledge of CCTV, access control, security systems, and other low-current systems.
- Understanding of MEP coordination and facilities requirements.
- Experience coordinating contractors, consultants, suppliers, and site teams.
- Strong knowledge of project planning, scheduling, documentation, and reporting.
- Ability to read and interpret architectural, civil, MEP, and shop drawings.
- Proficiency in AutoCAD and Microsoft Office, particularly Excel and PowerPoint.
- Knowledge of project management tools/software is an advantage.
- Strong communication, coordination, and problem-solving skills.
- Ability to manage multiple projects and work effectively under tight deadlines.
- Knowledge of local authority approval processes in Qatar is an advantage.
- Arabic language proficiency is an added advantage.
